CLAIMING YOUR REFUNDS!

How to claim a refund on any unspent funds you may have leftover on your wristbands:

  1. If you set up your account online in advance, you don’t have to do anything, you’ll be refunded automatically.
  2. If you didn’t set up your account and were just topping up on your wristband as and when at the on site top up station, you will need to use the portal below to register to claim your refund. You have 14 days to do this, after which any unclaimed funds will be donated to charity.

HOW IT WORKS…

1. Once you have received your Camp Kin e-tickets (send out from 12th July onwards) use your named person tickets to sign-up via the cashless portal on this page. It only takes a couple of minutes to register and add funds.

2. You’ll need to use your e-ticket reference number (as shown outlined in red below) note – you only need to type the numbers, don’t include the dashes.

3. Using a credit or debit card you can add any amount of money you wish onto your wristband in advance (up to a maximum value of £200 per person and wristband + £20 free bar spend) with no transaction fee.

4. If you load more than £50 your free bar spend will be added as separate wallet funds. It will automatically be used before your own funds when you visit the bar. You will not be able to use this credit at any other traders or points of sale on site. 

5. You can review your top ups (and later on, your transactions) online, once you’re registered.

6. When you arrive to site your e-ticket will be scanned as usual and hey presto – you will be given a wristband with your funds already loaded. 

7. Start spending! Your wristband is the only way to pay for goods and services at the event. Topping up in advance will save you time queueing on site.

8. Check your balance at any point of sale on site anytime, or online via your account and phone (dependent on your connectivity).

9. If you need to add more funds you can do this online with a registered account, or in person at the top-up booth, which is open from midday ’til when the bar closes.

11. Topping up online when at the event does require you to have phone signal, so another easy option is to use the auto top-up function available when setting up your online account. You can choose your own preferences and amounts to auto top-up, but the feature means your balance is replenished for you when you get to zero.

WHAT IS CASHLESS?

Cashless is a payment system that allows you to top up your wristband with funds to spend anywhere on site – no other forms of payment will be accepted at Camp Kin. There is an RFID chip in the wristband that records your running balance and the transactions you make. It is the same technology used increasingly at festivals and events around the world. With no need for phone signal, wi-fi or even power it makes transactions at greenfield sites faster, more convenient and robust. It has many benefits including;

  • Faster transactions and reduced queues
  • Removing the need to use ATMs and carry cash around on site
  • Improving security at events for both us as organisers and yourselves as attendees 
  • Reducing the risk of theft, lost cash & wallets that go walkies!
  • With cashless, we have the ability to replace wristbands and replenish unspent funds
  • In turn, by removing the need for cash transactions it also reduces the transmission risk for a range of illnesses – including Covid!

You can top up in person onsite at the top-up station, but for the best experience (and some free drinks at the bar) we advise topping up in advance. Setting up a secure cashless account before you arrive means your funds will already be on your wristband when you arrive at Camp Kin and also means you get an automated refund of any remaining balances post event*!

Families and groups…

If attending as a family, household group, or couple, you can manage all your wristbands from just one registered online account. Once you have registered the lead person’s account, you can then add the e-ticket details (as above) of others you want to distribute funds to.

This is easy to do from your own account. Follow the instructions to connect the other people’s e-tickets to your account. Do this in the same way that you linked your own ticket i.e. by entering their unique ticket barcode number (outlined in red in the ticket example image further up the page).

Now you will be able to select which person gets credited whenever you make a new online top-up. 

You can also keep track of what each individual spends, and what they spend it on, in the transaction history. If they run out of funds during the festival, they can still top themselves up by visiting the designated top-up stations.

FREQUENTLY ASKED QUESTIONS

Q. Where do I get my wristband?

A. You’ll receive your wristband when your tickets are scanned at the Camp Kin gates.

Q. Can I use cash on site?

A. Our bar, food traders, camp shop, public info point, artisans and all other services at Camp Kin will only be using the cashless payment system and will not accept cash. We urge you not to use cash to top up on site. This is a cashless event and we are trying to eliminate cash handling for covid safety.

Q. How do I put money into my wristband?

A. You can add money to your wristband online, before and during the festival, and in person at the top-up station on site. We recommend you register your secure cashless account online, login and top-up your wristband before attending the festival. Keep in mind that you’ll need your ticket number in order to register and start topping up your wristband. Please set up your account via the portal on this page.

Q. Is auto top-up flexible?

A. You can turn it on and off at anytime but the parameters of Auto Topup are fixed per event. For Camp Kin if you choose to enable the Auto Topup your balance will be replenished by £20 automatically each time, with a limit of £150. Please note if you drop below the £5 minimum threshold you wont automatically auto-top up. It will only kick in if you try and make a purchase that costs more than you have left on your wristband.

Q. What happens if I don’t have enough credit on my wristband/card?

A. If the balance on your wristband is too low, you won’t be able to pay – just like running out of cash unless you’ve enabled auto top up. The point of sale will ask you to top-up. You will need to either go to the top-up booth, or top-up online. Please note if you top up online in a green field in the countryside it can take some time for the credit to hit the system and update your wristband balance.

Q. Where do I find the different options for online top-up?

A. Go to the Camp Kin cashless portal to register and the homepage of your personal account will show you all the top-up options, which can include different top up amounts or specific products such as automatic top up. Once you’ve registered, from the homepage of your personal cashless account you’ll be able to select the top-up option that you prefer, add it to the basket and pay with your card. Your card details can be stored in the system so you do not need to re-enter them every time you Auto Topup online.

Q. Can I see my transaction history?

A. Yep! As well as being able to see your running balance every time you make a payment onsite, a full account history of your wristband transactions is available to view with a registered cashless online account.

Q. I registered online but didn’t receive the confirmation email what can I do?

A. If you don’t receive the confirmation email, check in your SPAM folder as it may have ended up there. If it’s not there and doesn’t arrive after several minutes, send an email to our cashless customer service team – cashless@campkin.org and we will get back to you asap.

Q. How much money should I put on my wristband?

A. We suggest that you put enough money on your wristband for your entire visit, as this will allow you to save time in queues and avoid having to go back to one of the top-up points again, if you run out of credit on your wristband. Remember (unlike many events) we are auto-refunding any remaining balances post event for registered accounts.

Q. Can I get a refund onsite?

A. No, afraid not. All refunds are processed by the cashless provider online and post event (see below).

Q. What happens if your wristband is lost or stolen? 

A. If you have registered for your online cashless account, we can block the lost or stolen wristband, and transfer all of your unspent money onto a new wristband for you. If you have not registered, then we are unable to either block the lost wristband or transfer the money that may have been on it. For this reason, we really do recommend you register your tickets on the cashless online account and keep your wristbands safe.

Q. Do I have to register for an account?

A. No, but if you don’t register your account, you won’t be able to claim a refund on any unspent funds left over on your wristband. Any unspent funds that aren’t claimed will be donated to charity after the 14 day refund window.

Q. When will I get a refund on any remaining balances?

A. Auto refunds are processed the Tuesday after the event you attend with funds getting back into your account within 10 working days – this will only happen if you register and top up your account before you get to site. You must register for an account in order to get a refund.

Q. What fees are there, for using cashless?

There are no fees to register, or for topping up your wristband (either in advance or on site) – however there is a £1 processing fee on any refunds.

Q. I didn’t register my account – how do I request a refund of remaining balances?

A. After the event you will need to go to the same Camp Kin cashless portal on this page (near the top), enter the wristband ID number and submit bank details for the transfer of funds (less a £1 processing fee). Do not throw away your wristband until you receive a refund. You’ll need to retrospectively create your account within 14 days of Camp Kin closing it’s gate (9th August) and refund requests will be processed within 5 working days of the request.

Q. What will happen to unclaimed residual balances?

A. Camp Kin and Kambe Events are not introducing this cashless trial to profiteer. As ever, we are looking at ways to improve the safety and experience at our events. Any and all surpluses from implementing the cashless system will be donated to charity and will be communicated to the audience as part of our post event survey. 

Q. Can I pool balances with friends to part pay for things?

A. Yes. If you don’t quite have enough on your wristband instead of topping up immediately you can ask a friend to pay the remainder. The member of staff taking your payment will be able to facilitate this.

Q. Does my wristband have a limit or expiry date?

A. Your wristband will be valid for the entire duration of the Camp Kin event you are attending. You can use it as many times as you wish. For security reasons, the maximum amount accepted on the wristband at a time is £200, but you can replenish that balance. 

Q. Is my cashless wristband safe?

A. Yes. Your wristband is protected by a highly secure encryption that makes it impossible to copy or steal the money and all the information stored on it.

Q. Is my wristband water resistant?

A. Yes, sun and rain are not a problem for your wristband!

Q. Can the technology be used to track my movements on site?

A. No, it cannot! The wristbands we use can only be detected from a few centimetres away and are not equipped with any GPS technology. 

Q. What about data and access to it?

A. As event organisers and data controllers, Kambe Events Ltd’s senior management team have access to selected data. Personal data is available to us for the purposes of safeguarding and responding to emergency situations (the same contact information supplied in the ticketing process) should we require it. However, the system is designed so that for the majority of users there is no access to personal information, for the purposes of reporting to vendors it only identifies transactions by wristband ID.  

We would not adopt any such technology without ensuring a robust position on data handling that is fully compliant with GDPR regulations. We will not be sharing any personalised data with any third parties and hope that with our track record for developing independent technologies (such as ‘BOMA’ – Shambala Festival’s anonymous, blockchain based festival app) that are focussed on digital privacy, people understand this move is about understanding and exploring the potential of new technologies, and developing ethical digital opportunities, not a data harvesting exercise!

One consideration here is that the system does liberate us all from the banking and communications corporations that harvest personal data whenever we make transactions in the outside world. It goes a long way in keeping those organisations outside the gates for the duration of the event. 

We also have a contractual commitment from our cashless provider (the data processor) that all personalised data will deleted post event. We will of course be checking to ensure this happens.

Q. What happens if I have concerns or doubts about my wristband balance?

A. If you have doubts about any past transaction, you can go to the top up station or information desk and ask the team for assistance and your transaction history. You can also review and keep an eye on all your transactions you have made, by reviewing your personal registered cashless online account. It is worth noting that although transaction history is hardcoded to the chip in your wristband, sometimes due to connectivity issues of an event, there may be a delay in updating the transaction history that you see. 

Q. What happens if I lose my wristband, and I have not registered an online cashless account?

A. Losing your wristband is like losing your wallet, so keep it safe. If you do lose it, you can go to the production office and ask for a new one. You’ll be asked to show your ticket and given a new wristband, but your new wristband won’t have any of the money you had on your previous wristband, unless you have registered your account online.

Q. How is my refund balance calculated?

A. The refund system will automatically calculate the correct refundable balance, excluding any free offers, incentives or gifts that may have been applied during the festival.

Q. I topped up in advance to claim the free bar spend of £5 for every £50 (capped at £20 free bar spend) – where can I claim it?

A. At the bar! Cheers!
